Smartsheet is a work management platform that takes the spreadsheet interface most teams already know and builds a full project, portfolio and process management system around it. Rows and columns stay familiar, but each sheet gains Gantt, board, calendar and table views, rich formulas, forms, automations and real-time dashboards, so a team can run projects, track budgets and report to leadership from the same grid they would once have emailed around.

The spreadsheet heritage is the point: anyone comfortable in Excel or Google Sheets can build a working project plan in minutes, while power users get cross-sheet formulas, cell linking, automated workflows and AI features that draft content, generate formulas and summarize data. Unlimited sheets, forms and reports are included even on the entry Pro plan, along with 250 automations per month. Dashboards pull live data from multiple sheets into charts and metrics stakeholders can check without asking for updates.

Where Smartsheet moves beyond a spreadsheet is scale and governance. Business adds unlimited guests, baseline tracking and admin controls; Enterprise adds SAML SSO, directory integrations and unlimited attachment storage; Advanced Work Management brings portfolio tooling like Control Center, DataMesh, Pivot App and Data Shuttle for organizations standardizing hundreds of projects. Integrations on the official directory include Slack, Microsoft Teams, Salesforce, Jira, Google Drive and Zapier, and the Smartsheet API is free for any user with a license on a Business plan or higher, documented at developers.smartsheet.com.

Pricing is per member per month, billed yearly at the advertised rates: Pro at $9 per member per month for teams of up to 10, Business at $19 per member per month with a 3-member minimum, and Enterprise tiers custom-priced. Month-to-month billing costs more. There is no permanent free plan for new signups – the legacy free plan was discontinued in August 2024 – but Smartsheet’s help center documents a free 30-day trial of the Business plan with no charges until you purchase.

Where it falls short: the per-member pricing with minimums makes small-team entry pricier than a simple spreadsheet add-on, automations and premium apps are tier-limited, and teams wanting deep spreadsheet modeling (pivot-first analysis, complex macros) will still need a real spreadsheet alongside it. The platform’s breadth also means a learning curve once you move past basic sheets.

Overall, Smartsheet is the natural upgrade path for teams whose shared spreadsheets have become mission-critical and fragile: it keeps the grid, adds structure, automation and enterprise governance, and prices predictably for growing teams. Month-to-month billing is available at a higher rate for teams not ready to commit annually.
